Appointing suppliers
We have to make sure new suppliers and most payments are financially and professionally sound. We've put a list of all the info we might need from you if you'd like to supply to us.
Organisational Status
We'll need to see evidence on a letterhead of the following info:
- Bank account details (if you're a sole trader trading under a different name, we'll need your payee details too)
- Company, charity or equivalent registration
- VAT registration
- Unique Taxpayer Reference where applicable
We might also need to check your:
- Recent trading history
- Financial track record
Declaration of a possible conflict of interest or previously-terminated contract does not in itself stop a supplier working for us.
Certification
Depending on what you’re supplying to us, we might ask for different pieces of certification. This also depends on the size of your organisation and how it is made up. It might include:
- Professional certification or qualifications, operational and trades certificates, relevant memberships
- Policies or statements to show you follow legislation and policies on probity, anti-bribery, equality & diversity, modern slavery and data protection
- Enhanced DBS clearances
- Awareness of Safeguarding and how to report any concerns.
We might also need insurances such as:
- Employer’s Liability
- Public Liability
- Professional Indemnity
- Membership of a recognised Safety Scheme in Procurement (SSiP) scheme
- Health & safety status
- ICO certificate
Policies
We might ask to see your company’s policies for some of the work you do. Don’t worry if you don’t have the policies we need. We just ask that you agree to follow our own policies instead.
